Administration Assistant

Description:  SUMMARY: The Administration Assistant will perform variety of clerical, administrative, and other support tasks related to the successful operation of the organization. REPRESENTATIVE DUTIES: (Employee may perform any combination of the essential functions shown below. This position description is not intended to be an exhaustive list of all duties, knowledge or abilities associated with this classification, but is intended to accurately reflect the principal job elements.): • Overall customer service and web page content updates • Assist the board of directors, advisors and committees as needed while promoting process improvement • Organization of records and inventory whilst participating in long and short-term planning for office infrastructure • Ensure operations run smoothly such as information and data processing, mail, materials scheduling and distribution, printing and reproduction, records management, and telecommunications management including the pick of mail and bank runs • Creation of databases (spreadsheets) and reports needed for programs • Create and assist in the preparation of necessary and required documentation including monthly, quarterly and annual reports • Regular interaction/coordination with other SFH vendors and partnerships • Completes special projects by organizing and coordinating information and requirements; planning, arranging, and scheduling meetings • Provides/purchases supplies by identifying needs for organization, events, projects and office • General information requests • Volunteer scheduling and donor stewardship • Attendance, recording, and distribution of minutes from organizational meetings • Meet all productivity and efficiency standards as outlined by management • Follow all safety rules and regulations, including active participation in the prompt identification and communication of safety hazards QUALIFICATIONS: Equivalent to graduation from high school with two or more years of office support experience. Candidates should have strong organizational, interpersonal and communication skills. Must be able to meet deadlines and be detail-orientated, with the ability to follow written and verbal instructions accurately. A personable, flexible, and supportive approach with a strong work ethic is essential. Must be a self-starter and have the ability to multi-task and work independently. Intermediate or higher computer skills: MS Office applications with the ability to learn software quickly. Web experience a plus.

Generally works in a quit indoor environment with minimal interruptions. LICENSES AND OTHER REQUIREMENTS: Valid driver’s license & background check in accordance with local law/regulations.
